Sanctum Documents turns boxes and binders into a structured, searchable archive you can rely on. This practice focuses on sensitive, high-value records where chain of custody, naming, and retrieval matter as much as scan quality. We pick up from your location, log every item on arrival, and deliver a complete, organized archive — without you ever having to wonder what happened to your records.

Archive Remediation
Most digitization operations are optimized for clean, organized records. Boxes arrive sorted, documents are unbound, and the work moves quickly. That is not the work most organizations actually have. Sanctum Documents specializes in collections that require hands-on preparation before a single document can be scanned. Heavily fastened files, adhesive-covered records, fragile historical materials, deteriorated newspaper clippings, mixed-media archives, decades of accumulated binding and organization problems — this is the work we are built for, and the work most scan operations decline or underprice.
Document Preparation
Our preparation team works through each container systematically, removing staples, paperclips, binder clips, and adhesives, flattening damaged or curled pages, and separating fragile items for individual handling. Preparation is logged by container and treated as a distinct, documented phase of the engagement.
Fragile and Specialty Item Handling
Newspaper clippings, thermal paper, photographs, and damaged documents receive individual attention at every stage. Items that cannot safely pass through standard scanning equipment are captured at maximum resolution using flatbed methods, with condition noted in the delivery documentation.
Digital Media Extraction
We extract, organize, and deliver content from CDs, DVDs, USB drives, and legacy digital media alongside physical document archives. Mixed-content discs are sorted by file type. Discs returning read errors are flagged for recovery attempts. Deposition video and legal proceeding recordings can be transcribed as a separate deliverable.
Structured Delivery
The output of a remediation engagement is not a folder of images. It is a structured, searchable archive organized by container, matter, or entity, with an index file, consistent file naming, and documentation of how each item was handled throughout the process.
Archive remediation engagements begin with a paid condition assessment. We inspect your materials, document their condition, and deliver a written scope and price before any work begins. The assessment fee is credited toward your engagement if you proceed.

Typical projects and minimums
Most engagements fall into one of a few patterns: law firm backfile conversions, agency archive modernization, or one-time digitization of complex private holdings. Projects are scoped by volume, complexity, and indexing requirements, not by walk-in page counts.
Projects typically start at a minimum engagement of $5,000 for straightforward work. Engagements involving detailed indexing, analytics, or complex file structures often range into the mid-five to six figures, depending on volume and scope.

Discovery Engagements are scoped, priced, and delivered with the same standards as a full production engagement, and the cost is credited toward any subsequent full engagement. How it works
Scope and design
We start with a discovery call to understand your records, volumes, formats, and sensitivity. Together we define the folder structure, naming conventions, and indexing rules, and agree on which analytics or reports are needed, if any.
Condition assessment and intake
Before production begins, we conduct a documented condition assessment of your materials. Each container is logged with a unique identifier, photographed, and assessed for preparation requirements, fragility, and estimated volume. You receive a written scope confirmation before any work proceeds. This step establishes chain of custody from the moment materials leave your hands and eliminates scope surprises before they occur.
Pickup or secure intake
We arrange pickup from your location by scheduled courier, or you may deliver materials to our Cedar Park intake facility. Every container is labeled and logged on arrival. You receive a written confirmation of receipt the same day.
Preparation, scanning, and OCR
Documents are prepared for capture — including fastener removal, adhesive cleaning, and fragile item separation — then scanned to agreed standards and processed with OCR to make content fully searchable.
Indexing, quality checks, and analytics
Files are placed into the agreed folder structure with consistent naming. Index data is populated and spot-checked for quality. When requested, analytics are run to show where key names, entities, or terms appear across the archive.
Delivery and disposition
We deliver structured digital outputs and index files ready to be absorbed into your systems. Physical records are returned, transferred to storage, or securely destroyed under documented procedures as agreed in advance.
